TekaaS Privacy Policy
This Policy explains how TekaaS Inc handles personal information submitted through the Website, including business consultations and privacy, legal, security, or accessibility requests.
Effective July 21, 2026
Scope and status
This Privacy Policy explains how TekaaS Inc ("TekaaS," "we," "us," or "our") collects, uses, discloses, retains, and protects personal information through the English, Simplified Chinese, and Traditional Chinese language versions of tekaas.com and the Website forms and communications that link to this Policy (collectively, the "Website").
This Policy applies to Website visitors, people who request an executive consultation, and people who contact us about privacy, legal, security, or accessibility matters. A separate written agreement and related notices may govern personal information processed during a client engagement, supplier relationship, employment process, or other relationship outside the Website.
Accountable organization and Privacy Officer
TekaaS Inc is federally incorporated in Canada and registered to carry on business in British Columbia. TekaaS Inc is the organization responsible for personal information under its control in connection with the Website.
Privacy Officer, TekaaS Inc. Use the Privacy purpose in the Website contact form, or write to TekaaS Inc at 4505 Hazel St, Burnaby, British Columbia, Canada. Do not include identity documents or sensitive information in the initial request; we will provide an approved secure method if additional verification is reasonably necessary.
Personal information we collect
When you request a business consultation, we collect only the information reasonably needed to assess and respond to the request:
- your name
- your business email address
- your company or organization
- your role or title
- your company website, if you choose to provide it
- your region or time zone, if you choose to provide it
- the primary topic you select for the consultation
- the non-confidential business context you provide
- the privacy acknowledgement, language, date, time, and limited submission metadata needed to demonstrate and secure the request
If you contact us about privacy, legal, security, or accessibility matters, we may collect your contact information, the nature of your request, information reasonably needed to verify your identity or authority, our correspondence, and the record needed to resolve the matter.
The hosting and security infrastructure may necessarily process standard technical information such as IP address, browser or device type, requested URL, referring page, request date and time, response status, and security signals.
Please do not submit regulated data, credentials, security-sensitive information, customer-confidential material, production data, special-category information, or personal information beyond what the form requests and what is necessary to explain the issue.
How we collect personal information
We collect personal information primarily:
- directly from you when you complete a Website form
- when you reply to a requested communication or continue a business discussion
- when you exercise a privacy right or report a legal, security, or accessibility issue
- through the technical operation and security of the publicly hosted Website
We do not purchase marketing lists, scrape personal contact details for the Website inquiry process, or obtain additional personal information from unrelated sources to enrich a consultation request. If TekaaS materially changes how it collects personal information, it will update this Policy before using the new practice and obtain consent where required by applicable law.
Why we use personal information
We use personal information for these limited purposes:
- receive, validate, secure, and acknowledge the request you submit
- understand the business decision, consultation topic, and organizational context you choose to share
- assess whether a TekaaS service or discussion may be relevant and identify an appropriate next step
- communicate with you about the request and arrange a requested discussion
- maintain an appropriate record of the request, response, acknowledgement, and disposition
- manage privacy, legal, security, accessibility, and data-rights requests
- detect, prevent, investigate, and respond to misuse, fraud, security events, and technical failures
- comply with applicable law, lawful process, and enforceable obligations
- establish, exercise, or defend legal rights
We do not use Website inquiry information to train a public or shared AI model, make an exclusively automated decision with legal or similarly significant effect, or create a marketing subscription. If TekaaS materially changes these use practices, it will update this Policy and obtain consent where required by applicable law.
Consent and choices
Before submitting a request, you receive a short collection notice and a link to this Policy. The form requires an affirmative acknowledgement that TekaaS Inc may process the information to receive, secure, assess, record, and respond to the request. The acknowledgement is not preselected.
You may choose not to provide optional information. If you do not provide information marked as required, we may be unable to receive or assess the request.
Where consent is the applicable basis, you may withdraw it on reasonable notice through the Privacy purpose in the Website form. Withdrawal does not affect processing already lawfully completed. We will explain material consequences and stop the affected processing unless continued processing is permitted or required by law or reasonably necessary for an established legal purpose.
Consultation responses are not marketing subscriptions
Submitting a consultation request authorizes TekaaS to respond to that request and conduct the requested business discussion. It does not subscribe you to newsletters, promotional campaigns, or general marketing messages.
If TekaaS later introduces marketing communications, participation will be optional. Every marketing message will identify TekaaS as the sender, provide contact information required by applicable law, and include an unsubscribe method.
How we disclose personal information
We disclose personal information only as reasonably necessary for the purposes described in this Policy:
- to authorized TekaaS personnel who need the information to assess, route, respond to, secure, or administer the request
- to approved hosting, business-email, form-delivery, security, and information-technology providers acting for TekaaS under appropriate terms
- to professional advisers, auditors, insurers, or transaction advisers where access is necessary and subject to applicable duties
- to a court, regulator, law-enforcement body, government authority, or other person where required or permitted by applicable law or lawful process
- where reasonably necessary to protect rights, safety, systems, users, or the public
- as part of a proposed corporate transaction, subject to appropriate confidentiality and lawful handling
We do not sell or rent Website inquiry personal information or disclose it to third parties for their independent advertising or unrelated marketing.
Service providers and processing locations
TekaaS may use approved service providers for Website hosting, security, business email, form delivery, and technical operations. They may process personal information only for the contracted service and approved purposes, subject to terms and controls appropriate to the information and risk.
Depending on the providers used, personal information may be processed in Canada or another jurisdiction and may be accessible to courts, law-enforcement bodies, or public authorities under the laws of that jurisdiction. TekaaS remains responsible for personal information under its control even where an approved provider has custody of it.
Cookies, analytics, and technical logs
This website does not currently use analytics, advertising trackers, behavioural profiling, or optional marketing cookies.
Hosting and security infrastructure may use strictly necessary mechanisms or technical logs to deliver pages, maintain availability, prevent abuse, and investigate faults or security events. If TekaaS uses analytics, advertising, or optional cookies in the future, it will update this notice and obtain consent where required.
Retention and deletion
TekaaS retains personal information only as long as reasonably necessary for the disclosed purposes and any applicable legal or business need.
A closed inquiry that does not become a client engagement is deleted or irreversibly de-identified no later than 12 months after the last substantive interaction. A shorter period may be used when the information is no longer needed. A longer period may apply where reasonably necessary to comply with law, preserve a record of a decision directly affecting an individual, manage a complaint or dispute, investigate a security event, enforce an agreement, or establish, exercise, or defend legal rights.
If an inquiry becomes a client engagement, only information reasonably needed for that engagement moves into the separately governed client-record process. Security-breach records are retained for the period required by applicable law; where the federal Breach of Security Safeguards Regulations apply, the minimum is 24 months after TekaaS determines that the breach occurred.
Deletion from active systems may not immediately remove information from protected backups. Backup copies remain access-restricted and expire under the approved backup schedule unless restoration is required.
Safeguards and security events
TekaaS uses administrative, technical, and physical safeguards that are reasonable for the sensitivity, amount, format, distribution, and foreseeable risks of the personal information. Controls include data minimization, purpose-based access, provider review, secure transport, account protection, controlled logs, retention limits, vulnerability management, and incident procedures.
No method of Internet transmission or storage is completely secure. This Policy does not guarantee absolute security. If a security event affects personal information, TekaaS will contain and assess it, preserve necessary records, and provide reports or notifications where applicable law requires.
Do not use the general consultation text field to submit suspected exploitable technical details, credentials, or personal data. Use the Security purpose and provide only a high-level, non-sensitive description; TekaaS will provide an approved secure channel if more detail is needed.
Access, correction, withdrawal, and complaints
Subject to applicable law, you may ask TekaaS to:
- confirm whether it controls personal information about you
- provide access to that information and information about its use and disclosure
- correct an error or omission
- withdraw consent where consent is the applicable basis
- delete information that is no longer required, subject to legal and documented exceptions
- address a question or complaint about TekaaS privacy practices
Use the Privacy purpose in the Website contact form and provide enough information to identify the request, but do not submit identity documents or sensitive information unless the Privacy Officer asks through an approved secure method. TekaaS may take reasonable steps to verify identity or authority before disclosing, correcting, or deleting information.
TekaaS responds within the period required by applicable law. Some information may be withheld, severed, preserved, or refused where applicable law requires or permits. If we cannot fulfil a request, we will explain the applicable reason and available escalation options as required.
You may raise an unresolved concern with the Office of the Information and Privacy Commissioner for British Columbia or, where applicable, the Office of the Privacy Commissioner of Canada.
Information about minors
The Website is directed to business professionals and is not designed for children or used to offer services directly to minors. TekaaS does not knowingly seek personal information from minors through the contact form. If you believe a minor has submitted personal information, use the Privacy purpose so that TekaaS can assess and take appropriate action.
International visitors
TekaaS is based in Canada. If you access the Website from another jurisdiction, your information may be processed in Canada and, depending on approved service providers, in other disclosed jurisdictions. Privacy rights and obligations can differ by location.
If TekaaS data practices materially change, TekaaS will update this notice and obtain consent where required.
Changes to this Policy
TekaaS may revise this Policy to reflect changes in law, Website functionality, providers, or information practices. The Website displays the effective date and makes the current version readily available.
If a change is material, TekaaS will provide additional notice and obtain consent where applicable law requires before using personal information for a materially new purpose or disclosing it to a materially new category of recipient.
Contact TekaaS about privacy
Direct privacy questions, rights requests, and complaints to the Privacy Officer, TekaaS Inc through the Privacy purpose in the Website contact form, or by mail to TekaaS Inc, 4505 Hazel St, Burnaby, British Columbia, Canada.
Do not include confidential business information, credentials, regulated data, security-sensitive information, or unnecessary identity documents in the initial request. TekaaS will provide an approved secure method if additional verification information is reasonably necessary.
Language versions
The English, Simplified Chinese, and Traditional Chinese versions are intended to communicate the same privacy practices. TekaaS will correct any material inconsistency in the published versions. Until a correction is published, the English version governs to the extent permitted by applicable law.
